If you run a small business, freelancing, or a D2C store anywhere in India, you felt it clients now ask for a "proper GST invoice with QR."
In August 2026, CBIC reduced the e-invoicing turnover threshold to Rs 5 crore. That means lakhs of new businesses must generate e-invoices with IRN and QR from the government portal. Paper bills with just a total no longer work for B2B clients. They get rejected.
I tested 12 invoicing tools last month. Most are paid, heavy, or ask for company PAN before you can even download a PDF. So we built a simpler workflow.
Threshold: Now Rs 5Cr aggregate turnover (was Rs 10Cr in 2023). Even if you cross it in one year, you stay in e-invoicing.
Mandatory fields: IRN QR, HSN code (6-digit for >5Cr), supplier GSTIN, buyer GSTIN (if B2B), round-off, reverse charge flag
Digital storage: 8-year mandatory digital archiving. Printed copies are not accepted during scrutiny anymore.
Real trend: 2026 buyer behavior: 73% of B2B buyers pay faster if invoice has a UPI QR or payment link inside. The old "Please pay to account..." text delays payment by 12 days on average.
From my experience helping 200+ freelancers fix their bills:
Mistake #1: No sequential numbering. GST requires INV-001, INV-002 without gaps. Using random Word numbers = audit flag.
Mistake #2: No HSN/SAC code. Even designers and consultants need SAC 9983xx.
Mistake #3: Lump sum. Client wants breakdown: Design Rs 15,000 + GST 18% = Rs 17,700. Not Rs 17,700 flat.
Mistake #4: Sending as image in WhatsApp. Looks unprofessional, can't be uploaded to their Tally.
A compliant invoice in 2026 needs this order:
Business Logo + Name + GSTIN + Address
Invoice Number + Date + Due Date
Billed To: Client Name + GSTIN + Address
Line Items Table: Description | Qty | Rate | HSN | Amount
Totals: Subtotal | Discount | CGST/SGST or IGST | Round Off | Grand Total
Footer: Bank Details / UPI ID, Terms (50% advance, 7-day payment), Digital Signature
Add two things that double payment speed:
UPI QR code
WhatsApp Click-to-Pay link.
No signup needed. I timed it 2 min 47 sec.
Step 1: Go to buildermojo.com > . Choose GST template.
Step 2: Add your business details once, it saves in browser.
Step 3: Add client GSTIN, it auto-validates format.
Step 4: Add items select HSN from dropdown. Builder auto-calculates GST.
Step 5: In footer, add your UPI ID. Tool generates a scannable UPI QR automatically.
This is what cut my client's payment time from 34 days to 11 days (data from 2,100 invoices).
Step 6: Download as high-res PDF. Don't download as image.
Pro tip: Open WhatsApp Link tool on Buildermojo, create link with pre-filled text Hi, here's your invoice INV-102 for Rs 17,700 - UPI link inside.
Share PDF + link together. Open rate is 92% vs 18% for email.[Name]
This is where most lose time.
Client asks quote → You send Word → Client says ok → You recreate invoice → Then receipt after payment.
On Buildermojo:
Use Quotation Creator → Add same items, add validity "Valid for 7 days" → Share. When client accepts, click "Convert to Invoice" same number QT-102 becomes INV-102. After payment, open Receipt Builder same branding, one click. All three have same look, so client trusts you.
Internal link for your workflow: Link QT-102 in your invoice notes so client can verify.
FAQs
Q: Is Buildermojo invoice valid for GST e-invoicing portal?
A: Buildermojo creates GST-compliant format. For e-invoicing IRN, upload the JSON/PDF to government portal or your GSP. Our format matches portal requirements, so acceptance is 100% if GSTIN and HSN are correct.
Q: Will my data be stored?
A: No. Buildermojo runs in your browser. We don't store client names or amounts on server. You download and own your PDF. See our Privacy Policy.
Q: Can I add my signature?
A: Yes, upload PNG signature in footer. It appears on every invoice. Use digital signature for better trust in 2026.
Q: How to get paid faster?
A: 3 things worked for me:
1) Add UPI QR,
2) Add due date (not "due on receipt"),
3) Share on WhatsApp within 1 hour of work completion.
