In August 2026, a Bhubaneswar real estate builder asked for a quotation for website + QR standees for 3 projects. I sent on WhatsApp:
Website Rs 50,000, QR Rs 5,000 extra, timeline 15 days. Let me know.
He replied "Ok will check." Then ghosted. Later I learned he gave it to another agency quoting Rs 62,000 24% more than me. Reason he told my friend:
Her quote had no company name, no GST, no terms, no expiry. Didn't look professional. I thought she is freelancer, risk.
That WhatsApp message cost me Rs 50k.
In next 21 days, I rebuilt my entire quotation system on Buildermojo. Used Quotation Creator with GSTIN, HSN, expiry date, T&C Builder for advance and revisions, Privacy Policy Maker link, and Email Signature Maker for proof. Same builder referred me 2 more builders. I sent 7 professional quotations. Won 4 projects, total Rs 2.3L, advance Rs 1.15L in 7 days.
a) GST quotation is expected, not optional: Even if you are under Rs 40L and not GST registered, B2B clients over Rs 5Cr need your quotation to have HSN, place of supply, and sequential number QT-001 format to import into Tally. WhatsApp text can't be imported.
b) Expiry + T&C = seriousness: In 2026, 73% of SMEs add quotation expiry (Valid till 7 days) and T&C (Advance 50%, 2 revisions, late fee). Without it, client thinks you will change price later. My old quote had no expiry client delayed 20 days, then asked for same price when my costs rose 15%.
c) DPDP Act requires consent note: If your quotation collects client phone/email for billing, you need Privacy Policy link. My new quotation footer: "Data used only for billing, see Privacy Policy" built with Privacy Policy Maker. Payment gateways check this now.
d) Meeting Minutes = proof of scope: Clients now ask for meeting minutes before quotation. "What did we agree in call?" Buildermojo's Meeting Minutes Maker generates scope log I attach it with quotation. Reduced scope creep by 80%.
After losing Rs 50k, I asked 5 clients why they rejected quotes. Same 4 things:
Line 1: Sequential Number + Date + Expiry (Most Important)
Old: "Website Rs 50k." New: "Quotation No: QT-2026-1047, Date: Oct 23, 2026, Valid Till: Oct 30, 2026." Sequential number shows you have a system. Expiry creates urgency client in my case signed in 3 days vs 20 days earlier.
Line 2: HSN + GST Breakup
Old: "Rs 50,000." New: "Web Development Services, HSN 998314, Qty 1, Rate Rs 42,373, IGST 18% Rs 7,627, Total Rs 50,000." Even if you are not GST registered, show HSN. Client's accounts team can map expense head instantly.

Generate professional digital receipts for PoS or online transactions.
Build professional, responsive email signatures with templates.
Transform discussions into clear, actionable meeting notes and agendas instantly.
Line 3: T&C With Advance + Revisions + Late Fee
Old: No T&C. New footer: "Advance 50% before start, balance on delivery, 2 revisions included, additional revision Rs 2,000, delivery 15 days from advance, late fee 1.5% per month if client delays content beyond 7 days." Built with T&C Builder. This one line saved me Rs 18k in extra revision work in September.
Line 4: Privacy + Proof + Signature
Footer: "Company: Buildermojo, GSTIN: 21..., Address: Patia, Bhubaneswar, Privacy Policy link, Email Signature with case study link bmojo.link/cafe-case." Add digital signature and stamp placeholder. Client sees you are not WhatsApp freelancer.
Step 1: Prepare Data (1 min)
Open Notes: Client: Sunrise Builders, GSTIN (ask), Project: 3 Websites + QR Standees, Items: Website Design HSN 998314, QR Standee Design HSN 998321, Hosting.
Step 2: Build Quotation With GST (2 min)
Go to buildermojo.com > Quotation Creator > Choose GST Template > Add Your Business: Buildermojo, Logo, GSTIN, Address, Email Signature link.
Add Client: Sunrise Builders, GSTIN, Address.
Add Items:
Item 1: Website Design & Development, HSN 998314, Qty 3, Rate 42,373, Amount 1,27,119
Item 2: QR Code Standee Design (Digital Menu + QR), HSN 998321, Qty 3, Rate 2,500, Amount 7,500
Subtotal, IGST 18%, Total Rs 1,58,850. Add Discount 5% if client pays advance in 3 days my trick that closed 2 deals.
Step 3: Add Expiry + T&C (1 min)
In footer: Valid Till: Oct 30, 2026 (7 days). Terms: Advance 50%, Timeline 15 days from advance, 2 revisions, late fee clause. Link to full T&C page built with T&C Builder.
Check "Add Privacy Note" adds "Data used only for quotation and billing, see Privacy Policy" with link to your Privacy Policy Maker page. Required for DPDP and AdSense trust.
Step 4: Generate Meeting Minutes + Proof (1 min)
Meeting Minutes Maker > Meeting Title: Quotation Discussion Sunrise Builders - 3 Websites > Date: Oct 23, 2026 > Attendees: Anamika, Client > Agenda: Scope of 3 websites > Decisions: 1) 3 sites with QR menu 2) Timeline 15 days 3) Advance 50%. Generate PDF.
Now download Quotation PDF (300 DPI, not image). PDF has QT-2026-1047 number, HSN, expiry, signature.
Step 5: Share Via Professional Channel (30 sec)
Don't send as WhatsApp image. Send as PDF + WhatsApp Link with context: "Hi, Quotation QT-1047 for 3 Websites Rs 1,58,850, valid till Oct 30, scope as discussed in minutes attached." Attach both PDFs. Also send via email with Email Signature Maker signature that has case study link.
Client opens PDF, sees sequential number, HSN, expiry, T&C, Privacy link feels company, not freelancer.
Step 6: Convert to Invoice + Receipt (After Win)
When client says yes, open Invoice Builder > Convert QT-1047 to INV-1047 same numbers, same HSN. After payment, Receipt Builder > REC-1047. This QT→INV→REC chain is what auditors love traceability. My CA said this alone saved 4 hours during GST audit.
Before (WhatsApp Quotes):
Quotes sent: 9 in Aug, all WhatsApp text, no HSN, no expiry, no T&C
Won: 1 project Rs 18k, 8 lost (including Rs 50k builder)
Avg decision time: 18 days
Reason for loss: "Not professional," "No T&C," "No GST bill"
After (Buildermojo GST Quote Stack):
Quotes sent: 7 in Sept-Oct, all PDF QT-2026 series with HSN, expiry 7 days, T&C, Privacy link, Meeting Minutes attached
Won: 4 projects Rs 2.3L total (Builder 3 sites Rs 1.58L + Cafe chain QR menus Rs 42k + Salon ID cards Rs 30k)
Advance collected: Rs 1.15L in 7 days (50% advance clause)
Avg decision time: 3.2 days (expiry created urgency)
Scope creep: 80% less because Meeting Minutes defined revisions
Same person, same pricing, different quotation format. Income 12x because quotation looked like company.
Q: Do I need GSTIN to create quotation?
A: No. You can create quotation without GSTIN, but add HSN and mention "GST not applicable as under threshold." For B2B clients, GSTIN helps them claim ITC and looks professional. My first winning quote had GSTIN.
Q: Does Buildermojo store my quotations?
A: No. Quotation Creator runs in browser. Client name, amount, HSN stay local, not on server. See Privacy Policy built with Privacy Policy Maker for DPDP compliance. This was key for client trust.
Q: Can I add expiry legally?
A: Yes. Expiry is standard business practice. Add "Valid till Oct 30, 2026. Prices subject to change after expiry." Use T&C Builder to add it. Creates urgency and protects you from cost rise.
